Privacy Policy for Paddle Up

Paddle Up ("we," "us," "our") operates the Paddle Up mobile app for coaches and students of pickleball clinics. This policy describes what information the app collects, how it is used, who can see it, and the choices you have.
If anything here doesn't match what the app actually does, tell us — this policy is written from the app's real behavior, not a template, and we'll correct either the app or the policy.
1. Who this applies to
Paddle Up has two kinds of users:
- Coaches, who run clinics, manage a student roster, and use the app's scheduling, check-in, and payment-tracking tools.
- Students, who join a coach's roster, book sessions, track their own progress, and use the check-in QR code.
Paddle Up is intended for users 13 and older. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided us information, contact us using the details in Section 9 and we will delete it.
2. Information we collect
2.1 Information coaches provide
When a coach sets up their profile, we store:
- Name, business name, and general location (e.g. "Buda, TX" — not a precise address or GPS coordinates)
- A payment handle for receiving payments (e.g. a Venmo username) — Paddle Up never processes, stores, or has access to actual payment card or bank details. Payments happen entirely outside the app, through whatever service the handle belongs to.
- Email address, used to sign in
- A join code, which is a short, coach-specific code students use to find and join that coach's roster
2.2 Information about students
A coach can enter the following for each student on their roster, and a student who signs up on their own enters some of it themselves:
- Name and phone number
- Email address (if the student signs in to use the student app)
- An optional profile photo, chosen from the device's photo library
- Attendance, payment status, and package/pricing information for that coach's clinics
- A skills checklist and practice notes the coach uses to track progress
- Whether a liability waiver has been signed (we store this as a yes/no flag, not the waiver document or any health information)
- Optional free-text notes the coach adds about the student
We do not collect or store any medical, health, or diagnostic information. The "waiver" field only records that a signature happened, not its content.
2.3 Information collected automatically
- Push notification token. If a coach enables notifications, the app registers the device with Expo's push notification service (see Section 5) so the coach can be alerted when a new student joins. This is optional and can be turned off in the app's Settings.
- Device type, used only to determine whether push notifications are supported on that device (e.g. simulators cannot receive them).
We do not use analytics, advertising, or tracking software of any kind. Paddle Up contains no ad network, and does not track you across other apps or websites.
2.4 Camera and photos
Paddle Up requests camera access for two purposes only:
- Scanning a student's check-in QR code at the start of a session
- Choosing a profile photo for a student, from the device's existing photo library
The camera is never used to record video, and photos are never uploaded anywhere except as a student's profile picture, at the coach's or student's own choice.
3. How we use information
We use the information above only to operate the app's actual features:
- Running the roster, scheduling, and check-in system
- Tracking bookings, waitlists, attendance, and package usage
- Calculating money owed and collected, and venue fee summaries, for the coach's own records
- Sending the coach a notification when a new student signs up
- Letting a student see their own progress, balance, and upcoming sessions
- Suggesting an at-home practice drill based on skills the coach has not yet checked off
We do not use your information for advertising, and we do not build profiles about you for any purpose beyond the app's own features.
4. Who can see your information
Paddle Up is built so that each coach's roster is its own private space:
- A coach can see all the students on their own roster, and the sessions, payments, and notes associated with them. A coach cannot see another coach's students or data.
- A student can see their own profile, balance, progress, and their coach's public business information (name, location, whether they are accepting new students). A student cannot see other students' phone numbers, emails, payment status, or private coach notes.
This separation is enforced by database-level security rules (Postgres Row Level Security), not just by what the app's screens choose to show — so it holds even if someone queries the database directly.
We do not sell, rent, or share your personal information with third parties for their own marketing purposes. We do not have an advertising business, and nothing in the app is designed to support one.
5. Third-party services we rely on
Paddle Up is built with a small number of infrastructure providers that process data on our behalf, strictly to make the app work:
- Supabase (Postgres database and authentication). When configured, this is where coach and student data is stored in the cloud. Supabase's own privacy and security practices apply to data at rest on their infrastructure: https://supabase.com/privacy
- Expo (app framework and push notification relay). Push notifications are routed through Expo's push service, which briefly handles the device token and notification content needed for delivery. https://expo.dev/privacy-explained
- Apple (APNs) and Google (FCM), the platform-level push delivery systems Expo's service uses to actually reach a device, per each platform's own policies.
We do not use any other third-party analytics, advertising, crash-reporting, or tracking service. If that ever changes, this policy will be updated first.
6. Where your data lives
Paddle Up can run in two modes, and which one applies to you depends on whether your coach has set up cloud sync:
- On-device only (default). Without cloud sync configured, everything is stored locally on your phone (using the device's on-device storage) and is never sent anywhere. Uninstalling the app deletes this data.
- Cloud sync (when configured). If a coach has connected the app to a Supabase project, data syncs to that project's database so it's available across devices and doesn't depend on any one phone. In this mode, data is retained until the coach or student deletes it, or until the coach's account is closed.
7. Your choices and rights
- Notifications can be turned off at any time in the app's Settings.
- Photos: a student's profile photo can be changed or removed by the coach or the student, depending on who added it.
- Correcting or deleting your data: because your data belongs to your coach's roster, the fastest way to correct or remove it is to ask your coach. If that isn't possible, contact us directly (Section 9) and we will help.
- Account deletion: a coach can request deletion of their entire workspace, including all student records within it, by contacting us. A student can request deletion of their own profile and history.
If you are in a jurisdiction with specific privacy rights (such as the EU/UK GDPR or the California CCPA/CPRA), you have the right to request access to, correction of, or deletion of your personal information, and to object to or restrict certain processing. Contact us using Section 9 to exercise these rights; we will respond within the time required by applicable law.
8. Data retention
We keep personal information only as long as it's needed for the purposes described in this policy — generally, for as long as a coach's workspace is active, or until deletion is requested. Attendance and payment history is kept as part of a coach's own business records for as long as their account exists, unless they choose to delete individual entries or the account itself.

10. Changes to this policy
If we change what data we collect or how we use it, we'll update this document and change the "Last updated" date above. We will not make material changes that reduce your privacy protections without providing notice first.
